GENERAL SUMMARY

The Marketing and Development Project Coordinator works under the general administrative direction of the Director of Marketing and Development.  The M & D Project Coordinator abides by all Agency policies and procedures, corporate compliance, mission, vision, and core values.  The M & D Project Coordinator is responsible for supporting the Director of M & D and related activities as directed, including, but not limited to special events, publications, marketing and advertising, fundraising, data entry and database management, and donor relations.  The Project Coordinator is responsible for assisting the department with clerical and office tasks as assigned along with raising money, promoting the agency, engaging donors and cultivating new relationships while providing high quality customer service.  The M & D Project Coordinator is responsible for creating and fostering a culture of high ethical standards and acts as a role model for professional behavior and demonstrates productive, open communication skills.

QUALIFICATIONS

Associates degree required; Bachelor’s degree preferred.  A minimum of 2 years marketing/fundraising experience required, preferably in the human services/not-for-profit environment. Familiarity with fundraising concepts strongly preferred with the ability to think critically and creatively. Excellent interpersonal, verbal and written communication skills are required.  Demonstrated computer competency including database entry and management skills along with some graphic design required.  Social media knowledge required.  Ability to work well with staff at all levels at multiple work sites and in collaboration with other organizations. Must be well organized with attention to detail and self-directed with ability to work in a changing environment, be flexible while utilizing sound judgment and problem-solving skills.  Must maintain strict confidentiality regarding donor/staff/person supported issues and demonstrate the ability to relate to and accept individuals with disabilities.  Valid/acceptable NYS Driver’s License in accordance with Agency policies; ability to travel.  Events may include occasional evening and weekend hours.

ESSENTIAL JOB FUNCTIONS

  1. Coordinate annual fundraising event(s) to include; however, is not limited to
  • Planning, implementing, closing, etc. Art Flaire or other event(s) as assigned.
  • Maintaining accurate event details, i.e. promoting, coordinating vendors, organizing location, set up and break down, etc.
  • Communicating verbally and/or in writing accurately and timely to internal/external stakeholders.
  • Coordinating post-event follow up, financial reconciliations, thank you’s, etc.

 

  1. Write newsletter and annual report articles with feature stories and take companion photographs at designated times throughout the year. This includes; however, is not limited to:
  • Coordinating interviews with internal/external stakeholders.
  • Organizing layout and proofreading articles.
  1. Coordinate Annual Fund correspondence at designated times throughout the year. This includes; however, is not limited to:
  • Preparing and organizing correspondence for mailing.
  • Acknowledging/receiving donations; thank you letters.
  • Entering data and maintaining donor database.
  • Growing donor database through outreach, social media, events, networking, etc.

 

  1. Maintain and elevate Agency’s social media presence. This includes; however, is not limited to:
  • Attending Agency functions for posting material/photographs.
  • Posting relevant and timely activities/information on social media outlets. This includes educational materials, general information, etc., posted by related outlets.
  • Researching social media outlets and presenting options/opportunities for outreach to Director of Advancement; implementing as directed.
  • Utilizing graphic design skills.

 

  1. Assist and support the Director of M & D/Department to include; however, is not limited to:
  • Planning, coordinating, implementing and closure of other special events as assigned to include the annual dinner, board/donor breakfast, Giving Tuesday, phonathon, etc.
  • Fundraising/Donor Relations:
      1. Becoming familiar with the agency’s donor base
      2. Building relationships with donors.
      3. Participating in planning and implementing of fundraising activities.
      4. Developing new fundraising and development initiatives.
      5. Identifying, cultivating, soliciting and stewarding donors and potential donors.
      6. Managing Staff Giving initiatives.
  • Accurately and consistently entering data and donor information into Agency donor software.
  • Processing gifts and entering donor notes.
  • Generating reports, mailing lists, etc. as needed.
  • Writing and distributing agency press releases.
  • Taking photographs at Agency events and activities as directed.
  • Maintaining/updating Agency website.
  • Tracking media hits.
  • Implementing graphic design skills; designing program ads.
  • Assisting with radio, television, print and other advertising campaigns.
  • Developing and creating other publications as requested.
  • Meeting annual development plan and strategic plan goals.
  • Taking notes/minutes for Development Committee meetings.

 

  1. Troubleshoot questions and concerns of internal and external stakeholders. Provide information, guidance, policy interpretation and assistance as required and requested.  Access Director for discussion, interpretation and assistance when needed.  Demonstrate flexibility in approach in work with internal/external stakeholders.

 

  1. Participate in and assist with Department Team meetings. Participates in other Agency teams, committees and projects.  Attends other related meetings, trainings and/or seminars.

 

  1. Demonstrate professionalism, respect and an ability to work in a team environment with coworkers/supervisors and external stakeholders. This includes; however, is not limited to: being flexible and cooperative with team, developing positive relationships with coworkers, supervisors, etc., maintaining professional boundaries with both individuals supported and all employees of Agency, practicing responsible work habits, modeling valued behaviors, etc.

 

  1. Reports to work on time and maintains regular attendance in accordance with Agency policies and practices (see Attendance/Absenteeism/Punctuality Personnel Policy – No. 500.501).

 

  1. Perform other comparable and related duties as assigned.
